TalentLMS allows you to deactivate users in various ways, allowing you to control the number of active user slots and stay within the limits of your subscription plan.
| Note: Unlike deleting a user, deactivating a user keeps their profile and data intact. No information is lost, and their course progress remains visible in Reports. |
You can:
- Deactivate users one by one
- Deactivate many users via mass actions
- Schedule the deactivation of a single user on a specific date
- Schedule the deactivation of multiple on a specific date
- Deactivate many users via Automations (available in Pro and Enterprise plans)
- Mass deactivate users via Custom Reports (available in Grow, Pro and Enterprise plans)
Deactivating a single user:
1. Sign in to your TalentLMS account as an Administrator and go to Users (1).
2. Click Edit (2) next to the user you wish to deactivate.
3. In the user’s Info tab, scroll down and uncheck the box labeled Active (3).
4. Click Save (4) to update your settings.
Here’s how to deactivate many users via mass actions:
1. Sign in to your TalentLMS account as an Administrator and go to Users.
2. Point to a user and click the checkbox (1) next to their name. Repeat for each user until you have selected all the users you want to update.
| Note: (Optional) To select all users in your screen at once, point to the columns bar and click the checkbox (2) next to the User column. Currently, the limit of users that can be selected to perform mass actions using the checkboxes is 160. |
3. Click Mass Actions (3) and select Deactivate (4).
4. In the following window, select Deactivate (5).

Deactivating users via Automations (applicable to Pro and Enterprise plans)
Automate the deactivation of your users based on an available trigger. Here's how:
1. Sign in to your TalentLMS account as an Administrator and go to Automations (1).
2. Click Add automation (2).
3. Type a Name (3) for your automation.
4. Click the Automation (4) dropdown and in the search bar, type deactivate.
There are 3 options:
- Z hours after last login, deactivate or delete user
- Z hours after signup and the user has not made a purchase, deactivate user
- Z hours after course X completion, deactivate user
5. Depending on the automation you've selected, add values for the required X, Y, and Z parameters (e.g., Z hours, course X, and course Y), and click Save (5) to finalize your changes.
Deactivating users via custom reports (applicable to Grow, Pro and Enterprise plans)
Deactivate users in bulk, by creating a custom report that displays users based on a common attribute. To do so:
1. Sign in to your TalentLMS account as an Administrator, and go to Reports (1).
2. Click Custom (2).
3. Click Add report (3) to create a new custom report.
4. Type a Name (4) for your report.
5. Make sure your report is set to display Specific users (5).
6. In the Ruleset section, Select a rule (6) by choosing the condition that works for you from the drop-down menu.
7. Click Save (7).

8. The report will open, displaying users according to its rules. Click Mass Actions (8).
9. Click Deactivate (9) to deactivate all listed users.
7. In the following pop-up, click Deactivate (10).
