The TalentLMS Notifications are automated emails that notify your users, instructors, and administrators of specific events.
Notifications can:
- Keep users informed about an event or remind them of an upcoming one, such as when an assignment has been graded or an ILT session is about to start.
- Send emails automatically when specific conditions are met, such as when a newly created user has not signed in within a set number of hours.
Notifications can be made available to all branches or specific branches, allowing you to tailor communication to branch users.

How notifications work with branches
Notifications are created and configured from the main domain. The notification's event, recipient, and filter settings are also controlled from the main domain and cannot be changed from within a branch.
To control which branches a notification is available to:
1. Sign in as an Administrator in the main domain.
2. Click Notifications (1) and then Add notification (2).
3. Give the notification a Name (3), select the Event (4), customize the Ruleset (5) if available, and use the branch filter (6) to select the branch or branches where you want the notification to trigger. If no branch filter is applied, the notification is available in all branches. Depending on the notification type, additional filters may also be available, such as Group, Learning path, or Courses (7).
4. From the Recipient (8) drop-down list, choose a recipient for your notification. Then, in the Message body (9), customize the message that recipients will receive in the selected branch or branches, or in all branches if no branch filter is applied.
5. Click Save (10) to create the notification.

Once a notification is made available to a branch, branch administrators can review it and customize its content directly from that branch.
How to customize a branch notification
1. Sign in to the branch or switch to it from the main portal.
2. Click Notifications (1), and then select the notification you want to customize.
3. Customize the notification’s status (2).
4. Customize the subject and Message body (3) that branch users will receive. You can also add Smart Tags (4).
5. If you’d like to revert to the original message configured in the main domain, click Reset to system default (5).
6. Click Save (6) to save the changes.
Changes made to a notification's content from within a branch apply only to notifications sent to users of that branch. They do not change the notification in the main domain or its content for other branches.
When on the Notifications page, administrators can also access the History (6) and Pending (7) tabs for notifications available to their branch.
Notifications can be resent from the History tab. However, pending notifications can only be deleted from the Pending tab from the main domain.
How to review notification customizations across branches
To see what kind of changes have been made to a notification by each branch where the notification is available, follow these steps:
1. Sign in as an Administrator in the main domain.
2. Click Notifications (1) and select the notification you want to review.
3. At the bottom of the notification drawer, click Branch customizations (2). The number (3) displayed next to it indicates how many branches have customized the notification.

At the top of the Branch Customizations drawer, you can see the number (4) of branches that have customized this notification, along with a search bar (5) that you can use to quickly find a specific branch. The drawer also lists the Branches (6) and their Customized fields (7), showing which settings have been changed for each branch, such as the notification status (Active/Inactive) and/or Message body (8).
How branch notifications are delivered
When a notification is triggered from a branch, the {site_url} smart tag directs users to that branch URL, whether the notification content has been customized for the branch or inherited from the main domain.
For users who belong to multiple branches, or to both the main domain and one or more branches, the notification they receive depends on where the event that triggers the notification takes place.
For example, if a user belongs to both the main domain and a branch, and a course assignment is made while the administrator is working within that branch, the user receives the notification configured for that branch.
| Note: For notifications that are not triggered by an action taking place in a specific location, such as “X hours before course start” or “X hours before certificate expiration,” if both the notification recipient and the relevant entity belong to the main domain and one or more branches, a single notification is sent using the main domain URL. If they belong to multiple branches only, a single notification is sent using the URL of the first shared branch. |
